PRIVACY POLICY

The JAY Group respects the privacy of every individual about whom we have information. We do not own any data ourselves, but manage customer information for our clients. As such, we respect the guidelines of our clients and those of policy-setting organizations within the industry. When we provide information management services, we only process our client’s information according to the terms and conditions of the contract. When The JAY Group provides information products to our clients, we adhere to the information practices described in this privacy policy.

  • Ethical Relationships
  • The JAY Group pledges to conduct our relationships with both clients and other information providers in an ethical and professional manner. In our client and supplier contracts, The JAY Group includes a commitment that any data sent to us has been legally obtained for the uses to which it will be put. Additionally, we require that our clients’ subsequent use of any data received from us will be in compliance with data protection laws, as well as with applicable industry information practices. Furthermore, we agree to comply with restrictions that information providers place on the data. If The JAY Group has reason to believe that a client or information provider is not in compliance with these commitments, The JAY Group will exercise its rights under the contract, which include but are not limited to, terminating that relationship if appropriate.
  • Awareness
  • The JAY Group is committed to privacy education. We educate our clients and our associates on an ongoing basis about the issues, guidelines and laws surrounding individual consumer privacy issues, corresponding responsibilities and The JAY Group’s privacy policies and practices.
  • Accuracy
  • The JAY Group maintains quality control procedures to ensure the information we compile and process is as accurate and complete as possible. The JAY Group responds promptly to any question about the accuracy of information from clients and consumers.
  • Security
  • The JAY Group maintains security procedures designed to keep client information from being accessed by any unauthorized person or business. We use a variety of multi-level security systems to control access to our services and information products. All users at client locations, as well as all employees, must have the appropriate access code and be expressly authorized to access certain data and applications.
  • Privacy Examples
    • HIPAA compliance – All patients must sign a Use and Disclosure release form prior to entering Patient Recall program for our clients.
    • ID/Password protection – All online destinations managed by The JAY Group are protected by User ID and Password. Also, The JAY Group does not provide site identification, ID, and Password via e-mail in order to better protect sites from security breach. Further, all vendors use ID and password security for access to The JAY Group’s client data.
    • Data Entry – Our data entry vendors must have ID/password security, secured facilities with locks, alarms, and 24-hour surveillance, and secured storage areas for client documents. Documents are maintained (stored) according to client contracts, after which they are shredded.
    • Secured Data Transmission – When transmitting data between vendors and clients, we use SSL encryption and VPN secured connections.
